Please note that registration fees are non-refundable if you are unable to attend the conference. However, substitute participants are welcome with prior notification.
If cancellation is requested due to personal reasons, the following refund policy applies:
More than 60 days before the conference: 60% refund
30 to 60 days before the conference: 50% refund
Less than 30 days before the conference: No refund
All cancellation and refund requests must be submitted formally via email.
Refunds will not be issued for cancellations resulting from force majeure events (including but not limited to natural disasters, war, epidemics, or governmental restrictions). In such cases, the organizing committee reserves the right to reschedule or relocate the conference without liability.
For the safety of your personal property, please keep your belongings secure at all times. Valuables should be deposited at the front desk during the conference.
Accommodation is not included in the registration fee. Delegates are responsible for making their own hotel reservations. We strongly recommend booking your accommodation as early as possible to ensure availability.
While the conference hotel is a convenient option, you are also welcome to choose nearby hotels based on your preference.

Visa Information for Conference Participants
Depending on your nationality and travel purpose, you may or may not require a visa to enter China. Please review the following guidelines:
Visa-Free Entry
As of May 2025, citizens of several countries can enter China without a visa for short-term stays:
Singapore: Visa-free entry for up to 30 days (mutual agreement).
Brunei: Visa-free entry for up to 15 days (unilateral policy).
Japan: Visa-free entry for up to 30 days (unilateral policy, valid through December 31, 2025).
Many European countries: Citizens from 38 countries, including many in Europe, are eligible for visa-free entry for up to 30 days for tourism, business, and other short-term activities.

Visa Requirements
If your country is not listed under the visa-free policy, you will need to apply for a visa to enter China.
Tourist Visa (Type L): This is typically the most straightforward option for conference attendees. An invitation letter is generally not required for a Tourist Visa.
Application: Apply at the Chinese embassy or consulate in your country or region of residence. Ensure your passport is valid for at least six months beyond your planned entry date and has at least two blank pages.
Timeline: It is strongly recommended to apply at least one month in advance of your intended travel date.
